JOB DESCRIPTIONS
POSITION: BOYS/GIRLS HOUSE LEAGUE CONVENOR
RESPONSIBLE TO: DIRECT/EXECUTIVE
RESPONSIBILITIES :
- Coordination of specific age-group activities as prescribed by Club
- Provide a liaison between the House League Coach, parents and the Club Executive
- Attend convener meetings as set by the Club Executive
- Oversee the establishing of House League Teams and ensuring that teams are balanced throughout the season
- Ensuring appropriate age-group teams have volunteer coaches
- Presentation of “Terms of Reference” and limitations relative to roles and responsibilities of coaches
- Monitor volunteer coaches and ensuring that they are abiding by the Club Policies and Procedures
- Organization of league for age-group as set by Club Constitution
- Placement of late player registrants
- Ensure player eligibility for age-group
- Monitor and report referee attendance and signing of games
- Monitor referee paper work to ensure no errors in scores and games
- Monitor scorekeeper and ensure they are meeting their roles and responsibilities
- If necessary, monitor field and building conditions and report back to Club Executive
- Ensure league standings are up to date and accurate
- Convene House league tournaments and responsibilities to the operation of entire tournament
- Conduct monthly meetings with volunteer coaches as set out by the Club
Assist with:
- Club registration on prescribed dates
- Player evaluations
- Club photo day(s)
- Youth Soccer Finals
- Organization of other Club-related events as required
POSITION: TIME KEEPER
RESPONSIBILITIES:
- Ability to communicate clearly through public adress system
- Ability to operate a score clock
- Excellent written and verbal skills
- Understanding of the rules of indoor soccer
- Ability to perform multiple tasks in a high intense environment
- Ability to operate music and public address system
- Make announcements throughout your shift
PERSONAL QUALITIES:
- Very outgoing and charismatic
- Strong sense of humor
- Ability to speak into a microphone
- Ability to deal with coaches and referee’s
POSITION: CONCESSION
- Arrive at the game 90 minutes prior to kick off
- Set up stock and any signage. Prepare cash float
- Sell Chips, Hot Dogs, Pop, Candy, Chocolate Bars, Pizza, Coffee, Hot Chocolate
- Sell and collect money. Give to co-coordinator at end of the night
- At the end of 2nd game. Count inventory and give deposit & summary sheet
- Give deposit to the co-coordinator
POSITION: CONCESSION RUNNERS
- Arrive at the game 60 minutes prior to kick off
- Stock up a the concession and proceed into stands or beer tent to sell items.
- Take float from the concession staff for the night
- Cash in each time you recycle concession product
- Run products
POSITION: MERCHANDISE
- Arrive at the game 90 minutes prior to kick off
- Take out Merchandise from Bins and display in the booth
- Make sure you have your float
- Take inventory after the 2nd game. Use summary Sheet.
- Reconcile with Sales and Hand deposit and summary sheet to co-coordinator
- Pack up merchandise into bin for set-up crew to secure at the end of the night
POSITION: MERCHANDISE RUNNERS
- Arrive at the game 60 minutes prior to kick off
- Report to Marketing Director
- Sell in the stands; 50/50 tickets/Jersey Draw tickets/other promos
- Help in administering the draw at the 85-minute mark
POSITION: TICKET SELLERS
- Set up in Ticket Booth "A" just outside the gate. Spectators who need to buy tickets must come to this Booth first
- Ensure Adminssion Signs are Clean and Visible. Familiarize yourself with any game promotions and ticket colours
- Check tickets for date and prices
- Set up Cash Drawer with float. Get float from co-coordinator
- Take ticket sales until 15 minutes into the 2nd half. Close gate at the 60 minute mark on the scoreboard
- Count money and reconcile with tickets sold. Use summary Sheet. Put deposit into designated folder and give to coordinator to secure
- Store cash boxes and signs in the equipment room ath the end of the night
POSITION: TICKET TAKERS
- Set up Ticket Booth "B" at the front gate where you will take tickets. Tear stubs apart and keep botton small portion
- Control VIP Season Passes
- Get Will Call List from Marketing/Promotions
- Store tickets into gate box
- Bring gate box into the office at halftime to do the total attendance. Record total tickets collected into appropriate Summary sheet. You are the key person to confirm total attendance
- Use spreadsheet to complete tally
POSITION: TICKET COUNTERS
- Set up in a position past the ticket sellers and takers
- Click/count everybody that comes through the gate
- At halftime, proceed with ticket takers to do attendance report. Assist in Summary Sheet provided
- Return "clicker" to co-coordinator
POSITION: MASCOT
- Arrive at the game 90 minutes prior to kick off
- Report to Marketing Director for instructions
- Put on suit and store properly for set up crew to secure at the end of the night
POSITION: MASCOT ATTENDENT
- Arrive at the game 60 minutes prior to kick off
- Report to Marketing Director
- Act as security for the Mascot throughout the game during promotions
- Assist with the Mascot
POSITION: FIELD CREW-SET-UP/TAKE DOWN/ GROUNDS & SECURITY
SET-UP
- Arrive at 6:00pm or 1 1/2 hours before kick off
- Set up all signage in proper location
- Put up Flag posts in 4 corners of the field
- Set up merchandise Booth- Bring over boxes of Merchandise/ Two tables & Chairs
- Set up Concessions Booth- Bringany concession supplies to the booth
- Put water on 2 Player Benches/Ref. Bench/Ref Change room
- Set up ticket booths- 1 table/bring over designated promotional items
- Ensure water is filled in player change room
- Set up BBQ for concession and Canopy
- Set up Beer Tent- Bring over coolers and stock beer. Bring over supplies
- Set up Ref Change room with tables and 4 chairs & towels
- Pick up Ice
DURING THE GAME
- Designate persons to Washroom Duty
- Monitor Water
- Un-lock change rooms at 1/2 time
TAKE-DOWN
- Pile up all the signs away from the field
- Put away all the tables/BBQ/Tent/Canopy
- Store all the concession supplies/merchandise/water jugs/flag poles/ into trailer
- Ensure all gates are locked
LIASON- VISITING TEAM & REFS
- Arrive at field 1 1/2 hours prior to kick off
- Meet with Referees and Visiting teams as they arrive into the stadium
- Provide both Refs/Visiting team a copy of the Competition Timeline
- Discuss and make them aware of the process for introductions and halftime
- Assist referees with any needs they may have
- Provide the game balls in referees room. Ensure to collect all 9 balls and store in the secured trailer at the end of each night
- Assist at the referee bench during the game to ensure refs/visiting team needs are met
POSITION: BEER TENT
- Arrive at the game 90 minutes prior to kick off
- Stock all the beer and glasses
- Ensure you have a float from the coodinator
- Sell beer until the 75-minute of the game. Close all sales
- Ensure no person leaves the tent with alcohol- door secruity (set up crew)
- Reconcile sales and give to deposit to co-coordinator at the end of the night
- Pack up all beer including empties and give to the set up crew to secure at the night of the night
POSITION: STATISTICIAN
- Arrive at game 90 minutes prior to kick off
- Pick up package from General Manager
- Check scoreboard to ensure its working and administer throughout the game
- Complete stats as per instruction
- Give to the General Manager at the end of the night
POSITION: VIDEO
- Arrive at the game 60 minutes prior to kick off
- Set up camera to video
- Film game
- Pack up camera and give to Statistician at the end of the night
POSITION: P.A. ANNOUNCER
- Arrive at the game 90 minutes prior to kick off
- Report to marketing director
- Review game script
- Sound Cehck
- Help pack up equipment at the end of the night
